What you'll accomplish
Two exports sit open on your screen: the planning software's account list and the custodian's positions file. Lining them up row by row for forty households is slow and your eyes glaze over by the tenth. You will hand both lists to ChatGPT with the names and account numbers stripped out and get back three short lists of things to check. You then confirm each flag in the source systems yourself.
This differs from a spreadsheet tie-out inside Excel. Here the lists are larger and come as two raw exports, and the output is an exceptions list, not a finished workbook.
What you'll need
Data caution: Balances and holdings tie to real people, even without names. Do this only in a ChatGPT workspace the CCO has approved for client financial data. Before you upload, trim each export to two or three columns: an account label, a value, and an as-of date. Delete names, account numbers, addresses and tax identifiers. Use labels such as "Household 112 Joint brokerage" and "Household 112 Client A Roth IRA". Check ChatGPT's data controls for whether chats are used to improve models and how long conversations are kept, and have the CCO confirm the setting for your workspace.
What you should see: two small files with identical column headers and similar labels. Troubleshooting: If dates are stored as text in one file and as dates in the other, format both as YYYY-MM-DD.
Sign in at chatgpt.com and confirm you are in the workspace the CCO approved. Look for the workspace name in the sidebar or account menu. If you are in a personal account, stop.
Use the attach control (often a plus icon or paperclip next to the message box) and add both files. Labels differ by plan and by app version, so look for the upload option rather than a specific menu name. Check what your plan includes for file uploads and file sizes if the upload fails.
What you should see: both file names shown above the message box. Troubleshooting: If a file will not attach, save it as CSV and retry.
Use the prompt in the next section. It asks for three lists and forbids changes or advice.
Take the three lists to the planning software and the custodian portal. Confirm each flagged item in each system. Do not rely on the chat's version of any number.
Write the result next to each flag: "data entry error", "timing difference", "label mismatch" or "needs advisor". Fix planning software entries yourself under the firm's procedure. ChatGPT never changes the planning software.
Duplicates inside one file
In the attached file, list any Account label that appears more than once, with the row values. Do not merge them.
Largest differences first
Sort the List 2 differences by absolute size, largest first, and show the running count of flagged accounts.
Label cleanup suggestions
List pairs of labels from the two files that look like the same account written differently. Present them as questions for me to confirm, and do not merge them.
Summary for the advisor
Write a three-sentence summary of the flags for Household 112, naming each flagged label and what differs. Do not explain causes.
